Seniorocity VR – Community Consent
🚀 AFC Rapid Intake Flow
(10 participants, ~10 minutes, no chaos)
Think of this as a repeatable rhythm, not paperwork.
🎯 Goal
- Keep people engaged
- Avoid bottlenecks
- Get clean consent records
- Let Facilitator focus on the experience
🧰 What Facilitator brings
- Phone or iPad with form open
- Backup QR code (printed)
- Pen + 2–3 paper backups (just in case)
🧭 Step-by-step flow
1. Quick group intro (30–45 seconds)
Facilitator says:
“We’ll be doing a short VR experience today. Before we start, we just need a quick consent form—takes about 20–30 seconds each.
Participation is completely voluntary, and you can stop anytime.”
👉 Sets tone + reduces resistance immediately
2. Start a “rolling intake” (key concept)
Don’t line people up.
Instead:
👉 Facilitator begins with one participant
👉 Others watch / chat / get curious
This avoids:
- pressure
- confusion
- dead time
3. First 2 participants = “demo effect”
Facilitator walks through form with first person:
- enters name
- taps checkboxes
- signature
People nearby see:
👉 “Oh, that’s easy”
4. Hand off to senior center staff (critical move)
After 2–3:
👉 Ask staff member:
“Can you help folks complete this while I get started?”
Now you have:
- Facilitator → running VR
- Staff → handling intake
5. Use the “tap-through method”
For most participants:
Facilitator or staff says:
“I’ll guide you—just let me know if anything applies.”
Then quickly:
- tap through health
- ask media preference
- confirm consent
- type name
👉 ~20 seconds per person
6. While forms continue → session starts
Key shift:
👉 Forms don’t block the experience
You can:
- start VR with first participant
- continue intake in parallel
7. Confirmation = quick glance only
When submitted:
👉 Look for:
“Thank you — this participant is checked in.”
Move on immediately.
8. Keep momentum
Never say:
❌ “Everyone needs to finish first”
Always:
✔ “We’ll get everyone through as we go”
⏱️ Real timing
- First 2 participants: ~2 minutes
- Next 6–8 participants: ~6–8 minutes
- Total intake: ~10 minutes (without stopping session)
⚠️ Common mistakes to avoid
❌ Group line-up
Creates anxiety + delays
❌ Over-explaining form
Kills momentum
❌ Waiting for full completion
Unnecessary bottleneck
❌ Handing device without guidance
Leads to confusion
👍 Pro move
Use language like:
“This just helps us run the program and improve it—it’s quick.”
NOT:
“This is a liability waiver…”
Huge difference.
🧠 Facilitator mental model
Not:
“Collecting forms”
But:
“Getting people comfortable and moving into the experience”
📍 Backup plan (important)
If tech slows:
- skip ahead
- run session
- complete forms during/after
👉 Never let form stop the program
🟢 That’s your operational engine
Once Facilitator does this 2–3 times, it becomes second nature.
